Why a drawing set falls apart without a numbering system
I've worked through drawing sets where the individual sheets were beautifully drafted, clean lineweights, correct annotation scale, everything by the book, and the set was still a nightmare to navigate because nobody had agreed on a drawing numbering system before the first sheet got created, so sheet numbers were assigned in whatever order sheets happened to get drawn, and finding the electrical plan for the second floor meant scrolling through a flat list of files with no discipline logic behind their names at all. A drawing number and sheet naming system isn't a bureaucratic nicety, it's the index that makes a set of forty, or four hundred, sheets navigable by someone who didn't draw them.

The mistake that causes the most real world confusion is renumbering sheets mid project because the original sequence didn't leave enough room, which breaks every existing cross reference, every RFI that mentions a sheet number, and every submittal log that's already been issued to a contractor, so the safer habit is to leave gaps in the sequence from the start, skip to 05 rather than numbering 01, 02, 03, 04 with nothing in between, specifically so new sheets can be inserted later without a full renumber. A numbering system that works fine for a twenty sheet renovation package can genuinely strain under a four hundred sheet campus project, so it's worth thinking through scale early, does the level segment need to handle basements and mezzanines cleanly, does the sequence number have enough digits reserved that a busy discipline like MEP won't run out of room, is there a clean way to add an entirely new building or phase to the project without the existing numbering scheme falling apart. None of this needs to be solved perfectly on day one, but sketching out the worst case size the project could realistically grow to, and checking the numbering structure still holds up at that size, catches a lot of the pain that otherwise surfaces halfway through construction documentation when it's expensive to change.
On multi building or multi phase work specifically, adding a short project or building code as a genuine prefix segment, rather than trying to squeeze that information into the sequence number itself, keeps the core discipline and sheet type logic clean and reusable across every building on the site, which matters a lot once a set grows large enough that no single person is tracking every sheet number from memory anymore.
Basement and below grade levels are a specific, recurring pain point worth deciding on early, some offices number a single basement as level 00 or B1 and count upward from there, others prefer to keep basements as negative numbers to preserve the intuitive sense that they sit below the ground floor, and either convention works fine as long as it's applied consistently and explained once, clearly, in whatever project standards document the rest of the numbering scheme lives in.
