The mistake I've seen offices make when finally tackling this is trying to fix everything at once, freezing active projects for a big library overhaul that never actually finishes because deadlines always win. A better rollout is incremental and tied to what's already being used, start with the handful of content types that show up on nearly every project, doors, windows, basic office furniture, building symbols, get those genuinely clean and consistent first, and expand the approved library outward from there as time allows rather than as a single big push.

Run the new standard alongside the old mess for a transition period rather than mandating an overnight switch, new projects pull from the approved library from day one, existing projects keep their current content unless there's a natural reason to update, a major revision, a client request, rather than forcing a disruptive retrofit into work that's already underway. This keeps the standardization effort from ever becoming the thing blocking a deadline, which is exactly the resentment that kills a standards initiative before it has a chance to prove its value.

Give it a real timeline too, six months to get the highest use content categories properly standardized is a realistic target for a mid sized office working this in alongside normal project work, not a weekend project, and setting that expectation upfront avoids the frustration of a rollout that keeps sliding because nobody budgeted real time for it in the first place.
